OVERVIEW We are recruiting for an Administrative Coordinator for the Food & Beverage Department.
Incumbent will be Responsible for the clerical / administrative duties.
Possess the ability to run the office efficiently and effectively on a daily basis.
Complete special projects as directed by Food & Beverage Management.
Ensure that all support and service is conducted and fulfilled in a manner consistent with the standards, goals and objectives of the Facilities Maintenance Department and Sun City Palm Desert Community Association.
SOME DUTIES AND RESPONSIBILITIES include the following:

Greets all clients, employees, and visitors to the Food & Beverage office and directs their inquiry to the appropriate person(s).
Answers, directs, and transfers phone calls to the appropriate party.
Responds to routine inquiries and performs tasks requiring a basic knowledge of F&B policies and procedures.
Opens and distributes mail addressed to the Food & Beverage Department.
Schedules meetings for Food & Beverage management based on calendar availability.
Creates room reservations through the room booking system, if necessary, ensures BEO is processed.
Assists in preparing or updating Banquet Event Order (BEO) or contracts, distributes copies to kitchen and/or pertinent departments.
Assists in invoice processing by verifying charges and acquiring necessary documentation.
Codes and submits invoices for approval to Food and Beverage Director and delivers originals to the Finance Department.
Assists with updates to the Food and Beverage Outlets' website pages.
Coordinates linen orders, replacements, etc.
Assists Food and Beverage Management with proper record keeping of all Food and Beverage mandated certifications.
Creates necessary electronic tracking reports and files them in the Food and Beverage shared drive.
Maintains office area in a clean, neat, and orderly fashion.
Maintain SDS sheets as required and updates, as necessary.
Projects a positive and professional image.
Maintains a positive, upbeat role in the Association.
Promotes and exemplifies Association values and represents departmental objectives and interests to internal and external customers.
Education and/or Experience - High School Diploma, plus minimum two (2) years office/clerical experience.
Previous experience in Catering, Banquet or Hotel operations a plus.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
