Summary:
Interacts with clients, guests, and vendors to provide and process timely and accurate information in response to inquiries, concerns, and requests about service.
Reports to / Supervision Received:
Operations Manager
Essential Functions:
Answer incoming calls and assist clients, and/or distribute phone calls as necessary to appropriate departments.
Act as a liaison between clients, vendors and other departments within the company Interact professionally with clients either by telephone, electronically, or in person.
Run daily and weekly work order reports and distribute to the appropriate department.
Respond promptly and professionally to client inquiries and direct new client inquires to the Sales Department.
Process orders, forms, and requests in an accurate and timely manner Keep accurate records of all client interactions, inquiries, compliments, and complaints in Goldmine computer system.
Enter house check reports on a daily basis and notify clients of any issues.
Contact and follow-up with all necessary vendors for any and all problems/issues with pools, landscaping, pest control, etc.
Organize and maintain client and company files.
File daily work orders, monthly statements, client communication, etc.
Responsible for client and vehicle key security Dispatch necessary information to staff members in a timely manner Receive and distribute client mail and packages Coordinate and supervise client and vendor projects while keeping them and Supervisors updated Able to open and close the office according to CSA Opening and Closing Procedures Assist with processing monthly billing statements Maintain a positive attitude with clients, vendors, and co-workers Adhere to all company safety policies and procedures.
Must immediately report any incidents, accidents, and injuries to their Supervisor and/or Safety Director in a timely manner Perform any other duties that may be assigned by your Manager or General Manager Education, Skills and
Experience:
1.
Education and Experience Requirements High School Diploma or equivalent required.
Two-years experience in customer service required.
Two years experience in administrative role required.

Required Skills Must demonstrate professional communication skills and exceptional customer service skills.
Must be proficient in the English language, both verbally and in writing.
Must be proficient in computer programs including Microsoft Word and Excel.
Must have ability to use or learn Front, Jobber, Ring Central, and Google Workspace program within 30 days with demonstrated proficiency.
Ability to prioritize daily work schedule, work independently and proceed with objectives with minimal oversight.
Knowledge of modern office procedures and methods including telephone communications, office systems, computer systems, and record keeping.
Ability to handle and resolve recurring problems and make recommendations to the Operations Manager.

Special Requirements Must successfully pass company background check and drug/alcohol test.
Must have a valid California driver's license and maintain on-going insurability.
Must be flexible to work weekends, holidays and over time if required.

The check will bounce and the victim is left responsible.
