John's Lutheran Church Administrative Assistant Job Description Reports to:
Church Council - including Lead Pastor and Associate Pastor Purpose:
To serve the mission and ministry of St.
John's in support of the Pastors, Staff, Council, and Congregation by facilitating the daily operations of the church as outlined below.
Compensation:
$20 per hour, based on 32 hours per week, at least 25 of which are in-person Church Office hours.
Responsibilities:

Represent St.
John's Perform the duties of this position in support of the mission and ministry of St.
John's Offer a welcoming presence to church and community members Work with the Pastors, Staff, and Council to facilitate the smooth operations of services, groups, projects, and events Work with church and community members on issues regarding St.
John's Maintain confidentiality, and consult with the Pastors regarding questions of whether or not a matter is confidential Attend Council, Staff, and Congregational meetings, and other professional meetings as requested 2.
Fulfill Administrative Duties Maintain the Church Database (Breeze) - including member and visitor information, membership rosters, membership of committees, and current Church Directories Maintain the Church Calendar (Google Suite) Coordinate use of the Church Facilities - including working with congregation members, neighboring organizations, ministry partners, and renters Maintain Payroll and distribute paychecks (Paychex) Assist Bookkeeper - including providing billing notices and back-up documentation weekly Assist Financial Secretary with weekly contribution reports Maintain printed and digital archives of Congregation Council documents Compile and distribute Reports for the Annual Congregational Meeting, and other reports as requested 3.
Manage Office and Facility Operations Maintain all software and back-up data for church computers Maintain proper operation of the alarm system and other surveillance devices Be on call 24/7 for alarm company to contact in case of activations or emergency Work with vendors to resolve maintenance issues as needed and authorized by Council members Ensure Church Facilities are properly stocked and maintained in a clean and organized manner Purchase supplies as needed for office, kitchen, and facilities Purchase supplies as authorized by ministry group leaders - including Communion and Worship supplies 4.
Maintain Regular Office Hours (currently, Monday-Friday, 9 am to 2 pm) Give the Lead Pastor advance notice of any time-off requests Arrange office coverage as needed Keep an accurate record of hours worked, and submit a time sheet to the Pastor for each pay period 5.
Facilitate Communications Respond in a timely manner to emails, phone calls, and office visits Manage mail and hard-copy correspondence Create and distribute online and hard-copy communications as needed - including Worship bulletins, emails blasts, information sheets, etc.
(Google Docs & Sheets, Microsoft Word & Excel, etc.
) Print weekly Sunday School curriculum Maintain the Church Office copy machine, and make photocopies as needed 6.
Support Ministries Serve as the Administrator for the FIND Food Program - including coordinating with distribution volunteers, placing food orders, compiling statistical information, and relaying information to appropriate organizations Schedule Worship Assistants for Sunday Worship Services (Breeze and Email communications) 7.

The check will bounce and the victim is left responsible.
