Non-Exempt POSITION OVERVIEW We are recruiting for a Full Time Executive Assistant.
Incumbent will Perform administrative duties for the Association HOA Operations Manager and General Manager.
Responsibilities may include preparing reports, distributing notifications, financial & residential data input and customer relations.
Ensure that all support and service is conducted and fulfilled in a manner consistent with the standards, goals and objectives of the Sun City Palm Desert Community Association.
SOME DUTIES AND RESPONSIBILITIESinclude the following:

Assists in coordinating volunteer community-wide mail-outs such as the Address and Age Verification, Annual Budget Disclosure, Golf Information, the Annual Audit Packet and the Election material.
Assists in website duties, such as posting notices for management, e.
g.
, posting Board and Delegate agendas and minutes, keeping all notices current on the home page as well as in the News & Announcements.
Assists Sun City Residents with their log on and password information to access the SCPDCA website.
Assists with maintaining and keeping the SCPDCA website and social media sites up to date.
Assists in the creation and distribution of SCPDCA flyers, emails, and other informational materials.
Assists District Delegates with their weekly eblast to their district residents.
Assists in Board packet assembly bi-monthly.
Transcribes Board Meeting Minutes and distributes to Board Members within two (2) days.
Updates, compiles and assembles Delegate Binder annually.
Assists in maintaining department files, e.
g.
, Association documents including resolutions, policies, and rules.
Inputs accurate resident information in three databases, JONAS, SmartWebs and ABDi.
Assists with SmartWebs input for Resident Hearings and Ruling Notification mailings to residents and follows proper timing requirements by HOA Civil Code and US Mail certified letter procedures.
Collects all committee minutes monthly for the monthly Board Consent Calendar.
Records and Documents Board Action Items for the Master SCPDCA Index Archive.
Assists in coordinating the employee Holiday party by sending out invitations, collecting employees' RSVP's, creating a vendor list, mailing vendor letters and thank you letters.
Education and/or Experience - High School, plus minimum three years office/clerical experience.
AA degree preferred.
Previous experience in estate industry a plus.
Working knowledge of updating websites, design software for emails blast and marketing materials and social media platforms.
